Beauté 21 Coronavirus (COVID-19) Infection Prevention & Control Policy For Clients
Our priority is to keep our clients and staff as safe as possible and during our temporary closures we have implemented a number of changes which we would like to share with you in this document. We hope that our new protocols will give you the assurance and confidence you need to come and enjoy your treatments again when we reopen.
I have completed the Coronavirus (COVID-19) Infection Prevention and Control course which is accredited by the Guild of Professional Beauty Therapists Ltd, the UK trade body for our industry. In addition, all staff have completed refresher training in salon hygiene and specific training on COVID-19 best practise to supplement the existing knowledge that they already exercise daily in the salon.
We have implemented a number of changes in the way that we operate that you will notice when you next visit, this will ensure that your visits to the salon are as safe and enjoyable as possible whilst following Government and Industry guidelines at this difficult time.
You may feel that some of these changes are quite restrictive but I am sure that you can appreciate that they are entirely necessary and, with your support, they ensure the safest possible visit for all clients. We will continue to monitor these protocols regularly in-line with new guidance, as it become available, and hope that we will be able to gradually relax these measures in the near future.
We ask that all clients read this document before their first visit after our re-opening, if you have any questions please do not hesitate to call us prior to your appointment.
To book your appointments please call the salon or use our online booking system.
If any of our staff feel ill or have symptoms of COVlD-19, they will self-isolate immediately and not come into the salon. This may mean that your therapist may change without prior notice or regrettably we may need to rearrange your appointment. We appreciate that this may be inconvenient but I am sure that all clients will be understanding in the current situation.
Arriving at the salon
If you or anyone in your household feels unwell or displays any symptoms of COVlD-19; i.e. a high temperature, a continuous cough or loss of taste / smell (however mild) or you have been told to self-isolate, please advise us as soon as possible and DO NOT COME TO THE SALON FOR YOUR APPOINTMENT. We have temporarily relaxed our booking terms and conditions and you will not be charged for any appointments which you cancel / rearrange due to illness, but please try to give us as much notice as possible so that we can offer the appointment to another client on the waiting list.
For your safety and to maintain social distancing, we ask that you attend your appointments as close to the appointment time as possible. Please do not turn up more than 5 minutes early for appointments as this may mean that you come into contact with other clients unnecessarily. Also please do not arrive late or we may have to cut your treatment short to ensure we have time to clean before the next client.
To support this we are now emailing out your client record card to be completed and signed ahead of your appointment which you can complete on your own device. This helps us by limiting the amount of time that you are in reception and removes the need for you to handle our salon tablets. If we do not have an email address for you or you are unable to complete your client card on your own device you will be required to do so on the salon tablet which will be sanitised between uses.
We will be carrying out temperature checks on all staff and clients when they enter the salon. This will be carried out by our receptionist with a contactless thermometer as you enter the salon. A temperature of over 37.8 degrees C will unfortunately result in your treatment being postponed for the two week recommended period. in the unlikely event we have to postpone your appointment for this reason, you will not be charged. We apologise for any convenience but I am sure that you can appreciate that this measure will help us to protect other clients and our staff (including a pregnant staff member and three colleagues who are caring for vulnerable family members). You will also be asked to “check-in” to the NHS track and trace app using our QR code clearing displayed on reception when you enter.
Please sanitise your hands when entering the salon using our sanitiser placed at the entry. There is also sanitiser throughout the salon for you to use regularly.
We can only allow a maximum of four people in reception at one time (including staff) so we politely ask you to wait outside until someone has left if we are at full capacity. We hope that this doesn’t offend or inconvenience clients, we are working hard to limit any unnecessary contact between clients.
Weather permitting, we will utilise the salon garden for clients who are waiting for their appointment.
We can only accommodate a certain number of clients and staff in the salon at one time to maintain social distancing which we are carefully planning out with each staff rota and booking. Therefore, it is vital that you please come alone to your appointment, we cannot allow children of any age to accompany parents or people who are collecting clients to wait in the salon under any circumstance.
We now have Perspex screens in place at reception, please speak to our receptionist through the screen and not in the walking space to the side of the desk.
To enable social distancing, we have unfortunately had to remove some of our waiting chairs in reception, these will be cleaned down after each use.
Where possible, please minimise the items you bring into the salon. Please do not be offended but we cannot offer to take your coat or other items as we usually would. You will need to take any items to the treatment room with you or hang them on the back of your chair to avoid contact with other client’s belongings.
When browsing the salon shop, please maintain 2m distance from others and refrain from touching anything that you do not intend to purchase, as you would in a supermarket. If you would like to know a price of an item our receptionist will be happy to help. If you do touch anything please let our receptionist know.
Masks or face covering are to be warn at all times in reception and the salon area. They may be removed during the following treatments once the therapist tells you; Facials, lip or chin wax. They can also be removed to drink but need to be put back on between sips. Your mask must also be worn properly and covering your month and nose. If you are exempt from wearing a mask please have the correct documents with you.
For the time being, refreshments are required to be in single-use disposable cups only. Unfortunately, we are unable to offer magazines for now, but you are welcome to bring your own reading material if you wish.
Our staff understand the importance of hand hygiene and we will ensure that we wash our hands in according with NHS recommendations before the start of your treatment.
We will do everything in our power to make your treatment as safe, comfortable and enjoyable as possible. If you have any concerns about your treatments please let us know and we will do what we can to accommodate you.
Please don’t be surprised or upset if our staff use personal protective equipment (PPE) during your visit and / or your treatment, this will be used in-line with our Risk Assessments and are for the protection of you and our team. This may include; disposable gloves, face coverings, face shields, aprons, and Perspex screens as appropriate.
We will understand and not be offended if you wish to wear disposable gloves when you visit the salon and during your treatment.
We have carried out a risk assessment on all treatments and we are confident that we can continue to provide these safely with the correct procedures / PPE in place. If, at any time, certain treatments can no longer take place due to a change in Government or industry guidelines we will contact you as soon as possible to find you an alternative treatment.
Nail desks are spaced 2m apart and we have Perspex screens are in place between clients to keep contact with others to a minimum.
We will open windows or doors where possible to allow good ventilation and fresh air flow.
After the treatment
In order to avoid the handling of cash, We would prefer card payment where possible. This will be in the form of contactless payments where possible and our card machine will be regularly sanitised between uses.
If you would like to tip your therapist (thank you!), the procedure will still need to be cash only as, unfortunately, we do not have a facility to accept tips by card. We will ask that you place it directly into their personal tip jar, which is regularly sanitised, to minimise any contact..
Cleaning & Sanitising
As mentioned above, we have increased the gap between clients to allow the team to thoroughly disinfect and sanitise the treatment room / desk between clients.
All tools and equipment will be disinfected or sterilised in line with the specific manufacturers’ instructions for your safety.
Wherever possible we will utilise environmentally friendly, single use items during a treatment that will be disposed of safely after use in order to protect you from cross infection.
We have, of course, increased the frequency of cleaning in the salon including making sure that ‘touch zones’ i.e. common surfaces, toilets, door handles etc. are wiped clean using disinfectant products between each client / every hour.
We can confirm that the laundering of salon towels and uniforms is a priority, we can assure you that all salon laundry is washed after every use using detergent and anti-bacteria solutions.
All disposable items are bagged and safely removed from the treatment area between each client.
All of these procedures have been implemented for your safety and that of our staff. We will continue to monitor advice from the Government, the beauty industry and the NHS regarding safe practice and will amend our new protocols as necessary.
